What Pledgix invoices are for

Pledgix invoices cover platform services — things like your subscription and any additional services arranged with our team. They are what your organization pays Pledgix.

Invoices do not include the platform fee on donations. That fee is deducted automatically from each donation as it is processed, so it never appears as a bill. You can read more in Platform fees explained.

Where to find your invoices

  1. Sign in to your client portal at dash.pledgix.com.
  2. Open the Billing tab in the top navigation.
  3. Scroll to Invoice history.
Tip: The Billing tab only appears once a billing account has been set up for you. If you don't see it, you don't currently have any Pledgix charges — nothing to see, and nothing owed.

The Invoice history table shows every invoice with its number, date, status, and amount. If an invoice relates to a specific campaign, you'll see the campaign name right under the invoice number. Open invoices also show their due date. If your account has recurring services — like a dedicated phone number — a Subscriptions card appears on the same page; see Reading your Billing page for the tour.

What each status means

| Status | Meaning | |---|---| | open | The invoice has been issued and is awaiting payment. | | overdue | The invoice is open and its due date has passed. | | paid | Payment was received — you're all set. | | quote | A proposal for services. Accepting and paying a quote converts it into an invoice. | | past due | The invoice went unpaid for an extended period and our team has written it off as uncollectible. This is a terminal status — the invoice no longer collects automatically, but the amount is still owed and still counts toward your open balance. | | void | The invoice was cancelled and no payment is due. |

Unless a different due date is shown, invoices are due 14 days after they are issued.

Viewing and downloading an invoice

Each row in Invoice history offers up to four actions:

  1. Pay — on open invoices; opens a payment dialog right in the page so you can pay with your card on the spot.
  2. View — opens the invoice on its own secure page, where you can review line items (and also pay online).
  3. PDF — downloads a PDF copy for your records or bookkeeping.
  4. Retry — appears on open invoices that are billed to your saved payment method, letting you re-run the charge instantly.

Invoice emails

When an invoice is sent to you to pay yourself (pay by link), the billing contact on your account receives an email with the invoice number, the amount, a summary of line items, and a View & pay invoice button that opens the same secure page. Quotes arrive the same way with a View & accept quote button. Automatically collected invoices generally don't email you at issue time (though some usage bills, like Marketing Hub sends, do email you a copy) — and you'll always hear from us if a charge doesn't go through.

Reading the amounts

  • Every invoice is issued in a single currency (US dollars by default). If your account has invoices in more than one currency, your Open balance card shows a separate total for each.
  • If a discount was arranged for your account, it appears as a negative line item on the invoice — you'll see exactly how much was taken off.
  • Any applicable tax appears as its own line; if no tax line is shown, no tax was charged.
Tip: Keep the PDF copies — each one is a complete record of the charge, including line items and totals, and works well for expense reports and audits.
