Troubleshooting a declined donation

A supporter wants to give, their card says no, and now they're emailing you. Declines are a normal part of card payments — here's how to diagnose them quickly and turn a failed attempt into a completed gift.

What the donor experienced

When a payment is declined, the donor sees a clear message in the checkout — typically "Your card was declined. Please try a different card or contact your bank." — and can immediately try again with the same or a different card. Nothing is charged on a decline.

If the donor double-clicked or their connection hiccuped mid-payment, they may instead see a message that the donation is already being processed, asking them to wait a moment and refresh. That's a protection working correctly — see Duplicate donations — spotting and fixing them.

What you see in your dashboard

Declined and failed attempts are never lost — every attempt is recorded. Open your campaign's Donations tab and switch to the Pending / Failed / Refunds view:

  • A Declined or Failed entry shows the donor's details, the amount, and when the attempt happened.
  • These entries never count toward your totals and never appear on your public page — they exist purely so you have the full story.
  • If the donor tried several times, you'll see each attempt, which tells you exactly how hard they tried and when they succeeded (or gave up).
  • A "Possible successful match found" hint on a row means the same donor did eventually complete a gift — click it to jump to the successful donation before you follow up.

A donor who never got as far as a payment attempt won't be here at all — checkouts that were started and simply walked away from live in the separate Abandoned tab.

Tip: When a donor says "my donation didn't go through," check this tab first. Seeing their actual attempt — with its status and time — turns a vague conversation into a specific one in about ten seconds.

Why cards get declined

The decline decision is made by the donor's bank, not by Pledgix, and the bank rarely shares its exact reason. The common causes, roughly in order:

  1. Insufficient funds or a card limit reached.
  2. Bank fraud protection — an unfamiliar charity charge, especially a large one or from another country, often trips automated fraud rules. A quick call to the bank ("yes, that was me") usually clears it for a retry.
  3. Expired card or a typo in the number, expiry, or security code.
  4. Verification not completed — some banks require the donor to approve the payment in their banking app; abandoning that step fails the payment.
  5. Card type not supported for online or international charges (some corporate and prepaid cards).

How to help the donor complete the gift

Work down this list with them:

  1. Try again. Pledgix doesn't auto-retry one-time donations — a fresh attempt is safe and will not double-charge. Ask them to re-enter the card carefully.
  2. Try a different card or a digital wallet like Apple Pay or Google Pay if the checkout offers one — wallets sidestep many typo and verification issues.
  3. Have them call their bank if the same card keeps failing — then retry. This resolves most fraud-block declines.
  4. Offer the phone line (if enabled) or take the gift another way and record it as a manual donation — see Recording offline and manual donations.

When it's not the card

Two situations look like a decline but aren't:

  • A donation was "paused" or hit "too many attempts" — the donor's device tripped a velocity limit after several declined or unverified attempts (anti–card-testing protection). Real donors are never blocked on a first try; ask them to wait a little while and retry, use a different card if the bank kept declining, or take the gift another way. These blocks appear in your Pending / Failed / Refunds tab marked as a security block, so you can see exactly who was stopped.
  • "Card payment isn't available" — your campaign has no active payment account connected. Donors can't pay at all until one is assigned; contact your Pledgix administrator.

When to escalate

If multiple donors report declines in a short window — different cards, different banks — something bigger than an individual card may be wrong. Reach out via Help & Support with the approximate times and a donor example from your Pending / Failed / Refunds tab, and we'll investigate the pattern.
