Pledges — tracking promises until they're paid

A pledge is a promise — "I'll give $1,800 by the end of the month." The gap between promises made and money received is where campaigns quietly lose thousands. The Pledges view exists to close that gap.

Recording a pledge

There are three ways a pledge gets created:

  • From an ask — when you resolve a recorded ask as Pledged, you enter the amount and due date, and the pledge is created in the same step.
  • From the Pledges view — click New Pledge, search for the person by name, email, or phone, then enter the amount, an optional due date, and an optional note ("said he'll give after the holidays").
  • From the Call Center — callers can log a pledge at the end of a call, and it lands here automatically, marked with its source.

The Pledges view

Open your campaign, choose Donor Relations in the sidebar, then People, and open Pledges from its card on the Home tab — it opens as its own closable tab. Three tiles summarize the picture:

  • Open Pledges — total dollars promised but not yet resolved, and how many people.
  • Collected — donations matched against pledges.
  • Overdue — how many open pledges are past their due date.

Below, filter the list by All, Open, Overdue, Fulfilled, or Cancelled, and sort it — including by outstanding balance, so the biggest unpaid promises rise to the top. Each row shows the person, the pledged amount, a progress bar, the due date, the status, and where the pledge came from. Click a row to open the person's full profile.

Statuses, and what "Overdue" means

A pledge is Open, Fulfilled, or Cancelled. Overdue isn't a separate state you set — it's simply an open pledge past its due date, flagged automatically so you know who to nudge.

How fulfillment works

Pledgix shows you donations received from the person since they pledged — that's the progress bar. But it deliberately does not mark pledges fulfilled on its own: a donation that happens to arrive isn't necessarily the pledged gift, and guessing could over-credit. You stay in charge:

  • Click Fulfilled on the pledge when the promise has been honored.
  • Click the cancel icon if the pledge is off ("circumstances changed").
  • Delete a pledge only if it was recorded in error — deletion is permanent and asks you to confirm.

Working the overdue list

Once a week, open the Overdue filter and work it top to bottom:

  1. Check the person's profile first — the progress bar may show the money actually arrived and the pledge just needs to be marked Fulfilled.
  2. If not, a friendly call or message referencing their own commitment ("you asked us to follow up this month") converts far better than a generic appeal.
  3. If they need more time, edit expectations honestly: cancel and re-record with a realistic date, or leave it open and note the new plan on their profile.
Tip: Always set a due date, even a soft one. A pledge without a due date can never show up as overdue — which means nothing will ever remind you to collect it.
