Importing contacts into the Profile Center

Any list of people — a community roster, an event sign-up sheet, last year's donor list from another system — can become profiles in your campaign's donor directory. There are two ways to add people: upload a spreadsheet, or add one person at a time.

Uploading a spreadsheet

  1. Open your campaign, choose Donor Relations in the sidebar, then People.
  2. Click Import Contacts.
  3. Drop in your file or click to browse. Excel files (.xlsx, .xls), CSV, and plain-text (.txt) files are accepted, up to 15 MB and 50,000 rows.
  4. Review the column suggestions and click Import Contacts.

Reviewing your columns

Pledgix reads your headers and a sample of the values, then proposes a role for every column — with a short reason next to each suggestion so you can see why it decided what it did. (If the AI reader is unavailable, simpler header matching steps in.) Nothing is fixed: change any column's role from its dropdown before importing.

The roles cover far more than the basics — full name or separate first/last names (including a second adult's name in household directories), business/organization, two emails, two phones, full address (street, city, state, ZIP), lifetime giving amount, per-year giving amounts, individual gifts with their dates, notes, and a catch-all attribute role that keeps any other column as labeled info on the profile. Columns marked skip are dropped.

You need at least one of Name, Email, or Phone. Names alone are fine — people with no contact details still become profiles, though they can't automatically link to donations or calls until an email or phone is added.

Stamping years

If your whole sheet represents one giving year (last year's donor list with amounts), choose it under Which year is this data from? But one file can also carry many years at once: each per-year amount column gets its own year, and gift columns pair with their date columns, so a single multi-year export builds full giving trends in one import — no need to split it into one file per year. Amounts with years feed each person's giving trend, so the Profile Center can tell who's growing, steady, or lapsed.

Tagging the whole sheet

Before importing, you can apply one or more tags to everyone in the file — pick from your existing tags or type a new one, like "New York group". This is the easiest way to keep track of where a list came from.

What happens after you import

  • Duplicate rows inside the file (same email and phone) are combined, and fully empty rows are skipped. The confirmation message tells you how many were imported and how many were skipped.
  • Profiles rebuild in the background for a few moments. Anyone in your file who matches an existing donor by email or phone merges into that donor's profile instead of creating a duplicate.

Adding one person by hand

Someone told you in person they'd like to give? Click Add Person and enter whatever you have — a name, email, phone, an optional "they said they'll give" amount, and a note about where you met. An email or phone lets Pledgix connect their future donations and calls to this profile automatically. The optional amount feeds their expected ask.

Tip: If a column mapping looks wrong on the second step, use Back to re-pick the file, or simply change the dropdowns — nothing is imported until you confirm.
