Silent donations — recording gifts without notifications

Sometimes you need a donation on the books without any of the usual fanfare — no receipt email to the donor, no team alerts, no webhook to your connected tools. Pledgix supports this in two places: the silent-entry checkbox on manual donations, and the default behavior of spreadsheet imports.

Silent entry in Add Donation

When adding a manual donation, campaigns with the feature see a "Silent entry — don't send any notifications" checkbox in the Add Donation form.

With the box checked, the donation is saved and counted normally, but nothing is announced:

  • No receipt email or SMS goes to the donor.
  • No team notifications fire (no captain alerts, no team emails).
  • No webhooks are sent to your integrations.
  • No live announcement — no push notification, and no toast on the public feed or live screen.

Everything else is untouched: the gift counts toward your campaign total immediately, appears in your Donations CRM, and shows on the public feed like any other approved donation (use the donation's visibility controls if it should also stay off the feed).

Typical uses: recording a gift the donor already got a paper receipt for, backfilling a batch of historical entries during a live campaign, or entering a sensitive gift where an automated email would be unwelcome.

Silent entry is available by default on Pledgix Pro and Political campaigns — the Pledgix team can enable it for other campaigns on request.

Tip: The silent setting sticks when you use Add Another — if you're batch-entering historical gifts, donation #2 won't suddenly start emailing people. And it isn't forever: you can still open any silent donation later and resend its receipt manually.

Imports are silent by default

The spreadsheet import works the opposite way around: imports suppress notifications by default, on every campaign model. Bulk imports are almost always historical records, and blasting receipts and team alerts to hundreds of past donors is rarely what anyone wants.

In the import dialog you'll find a "Send receipt & team notification emails" toggle:

  • Off (the default): all rows are recorded silently. They still count toward your totals.
  • On: every donor in the file with an email address receives a receipt now, and team notifications fire.

The toggle deliberately resets to off for each new file you upload — a choice made for one import never silently carries over and emails the next file's entire donor list.

Tip: Only turn the import email toggle on when every row in the file should get a receipt right now — for example, a fresh batch of offline gifts collected this week. For anything historical, leave it off and resend individual receipts later where needed.
