Segments — living donor lists that update themselves
Last updated 3 min read
A segment is a saved set of filter rules with a name — "Major donors not yet reached", "Lapsed $1K+ givers", "Board list — never called". Unlike a spreadsheet snapshot, a segment is alive: every time you open it, it re-evaluates its rules against current data. When someone donates, they drop out of your "hasn't given yet" segment on their own.
Creating a segment
- Open your campaign, choose Donor Relations in the sidebar, then People.
- In the people rail, apply the filters you want — a Gift Pyramid tier, a trajectory, a tag, a stage, gave-this-year or not, called or never called, or an assignment (a specific team, a specific caller, or the unassigned).
- Click Save this view, give it a name (up to 60 characters), and click Save Segment.
Your current filters become the segment's rules. One thing can't be saved: free-text search. A search box entry has no rule behind it, so a search-only view can't become a segment — set real filters instead.
Using segments
Saved segments appear as colored chips in the Segments row. Click a chip to apply it; click again to turn it off. A segment follows you across the workspace:
- The people rail — see exactly who's in the segment right now.
- Call Next — the ranked calling queue, narrowed to the segment.
- Board — the pipeline columns, showing only segment members.
You can also pin segments to the Home tab — each pinned segment becomes a card with a live headcount, so your most important lists greet you the moment you open the workspace.
With a segment active, two powerful buttons appear:
- Push segment to Call Center — send everyone in the segment (who has a phone and isn't on a do-not-call list) into a dialing session. Very large segments are capped at 2,000 people, biggest expected gifts first.
- Print call sheets — download one PDF with a printable page per person, biggest asks first, up to 200 sheets.
Ideas that work
- Tier + not given yet — click the $10K+ pyramid band, set giving to Not yet this year, save as "Majors to win". Your event-night priority list.
- Lapsed donors — filter trajectory to Lapsed, save as "Win-back list". These are people with giving history who skipped the most recent year.
- Tag + never called — filter to a tag like "Dinner invitees" plus Never called, save as "Dinner follow-ups". As your callers work through it, it empties itself.
Editing and deleting
Segments can be edited after creation — rename one or update its rules and every place it appears picks up the change. To delete, activate the segment's chip and click the small trash icon that appears next to it. Deleting a segment never touches the people in it; it only removes the saved rules. Segment names are unique per campaign, so you'll be warned if the name is taken.
Tip: Name segments by intent, not by mechanics. "Call before Sunday" tells your team what to do; "tier-mid + never-called" makes them think. The chip text is the instruction.
