Reading your Billing page — balance, history, and what each number means

The Billing tab in your client portal is your statement of record with Pledgix. Everything you owe, everything you've paid, and everything on file lives on this one page. Here's how to read it top to bottom.

The cards at the top

Open balance

Your Open balance card totals every unpaid invoice on your account. Two details worth knowing:

  • If your account has invoices in more than one currency, you'll see a separate total per currency — a dollar balance and a euro balance are never mashed together.
  • If you have prepaid credit available, a green Prepaid credit pill shows your current balance right here. Credits apply automatically before you're billed — see Prepaid credits and discounts on your account.

Card on file

Shows the payment method saved for automatic collection — card brand and last four digits with expiry, or your bank account for ACH. The Add card / Update button opens the update dialog. See Payment methods — card and bank (ACH).

Subscriptions

If your account has recurring services — most commonly a dedicated phone number — a Subscriptions card lists each one with its price, its renewal or expiry date, its status, and a per-subscription Auto-renew toggle. With auto-renew on, the service stays active and bills each period; switch it off and the service simply ends at the close of the current period (you'll confirm before it's turned off).

Expiring number banner

If a dedicated number's subscription is about to lapse, an amber banner appears at the top of the page with the number, the end date, and a one-click Keep this number button that turns auto-renew back on.

Invoice history — your line-by-line record

The Invoice history table lists every invoice and quote on your account, newest first. Each row shows:

  • Invoice number — formatted like PLX-2026-000042. Quotes carry their own numbering (like PLXQ-2026-000007); when a quote becomes an invoice, it gets a fresh invoice number and keeps its quote number for reference.
  • Campaign name — shown under the number when the charge relates to a specific campaign, so multi-campaign organizations can tell their invoices apart instantly.
  • Date and, for open invoices, the due date. Unless stated otherwise, invoices are due 14 days after they're issued.
  • Status and amount.

Draft invoices our team is still preparing never appear here — you only ever see finalized documents.

Decoding the status pills

| Pill | What it tells you | |---|---| | open | Issued and awaiting payment. | | overdue | Still open, and the due date has passed. This isn't a separate charge — it's the same open invoice, flagged so it stands out. | | paid | Settled. The row becomes a permanent receipt. | | quote | A proposal for services — nothing is owed until you accept it. See Quotes vs invoices. | | past due | Went unpaid for an extended period and our team has written it off as uncollectible — it no longer collects automatically, but the amount is still owed and still counts in your open balance. | | void | Cancelled — no payment due, kept for your records. |

Reading an individual invoice

Click View to open the invoice on its own secure page (open invoices also have a Pay button that opens a payment dialog right in the page), or PDF to download a copy. On the document you'll find:

  • Line items — each service with its quantity and unit price.
  • Discounts — shown as their own negative line, labeled Discount with the code, so you always see exactly what was taken off.
  • Tax — its own labeled line when applicable; no tax line means no tax was charged.
  • Amounts — the total due, what's been paid, and the remaining balance. If part of a paid invoice was later refunded, the refunded amount is recorded against it too.
Tip: For bookkeeping, the PDF is the authoritative snapshot — it captures the line items, the bill-to details, and the totals exactly as they were at issue time, even if your account details change later.

A monthly reading routine

  1. Glance at Open balance — anything owing?
  2. Scan for overdue pills — those need action first (the Retry button handles automatically billed ones instantly).
  3. Download PDFs of newly paid invoices for your records.

If any number on the page doesn't match your expectations, see Disputed or incorrect invoice — what to do.
