How do I refund a donation?

If you're the campaign owner, you can refund a donation directly from the Donations table. Refunds are always for the full amount — Pledgix doesn't do partial refunds from the dashboard.

Steps

  1. Open your campaign and go to Donations.
  2. Find the donation, click its ⋮ row menu, and choose Refund.
  3. Read the confirmation carefully — it tells you which kind of refund this is (see below) — and confirm.
  4. The donation's status changes to Refunded and your campaign total is reduced automatically.

The kinds of refunds

  • Card payments processed through Stripe: the confirmation asks "Refund card payment?" and the money is actually returned to the donor's card (campaign totals, including the platform fee when applicable, reverse automatically).
  • Charity-card (DAF) gifts: the refund action voids the grant with the DAF provider — a real reversal on their side. Providers have a void window; once it closes, you'll be told to contact the vendor instead.
  • Everything else — including cards on the standard Pledgix rail and offline gifts: the confirmation says "Mark donation as refunded? … No card refund is sent." The donation is marked refunded and removed from your totals, but no money moves from this action. For a card charge on the standard rail, the actual money refund is issued at the payment gateway — contact the Pledgix team — and refunds issued at the gateway are also picked up automatically when donation records sync.

Who can refund

Refunding requires campaign-owner access. Managers can see the Refund option but the action will be rejected — ask your campaign owner (or Pledgix support) to process it. Donations that are already refunded, disputed, or charged back can't be refunded again.

Tip: If the real problem is a wrong amount or a typo, edit the donation instead of refunding it. For what refunds do to totals, receipts, and fees, see Refunds — what happens when you refund a donation.
