Exporting your donation data

Whether it's for your accountant, a thank-you mailing list, or a board report, you can export your campaign's donations to Excel in a couple of clicks.

How to export

  1. Open your campaign's Donations tab.
  2. (Optional but powerful) Apply filters first — the export respects them.
  3. Click Export.

Pledgix pulls every donation matching your current filters — not just the page you're looking at — and downloads a ready-to-use Excel workbook. For extremely large result sets, you'll see a note telling you how many rows were included so you can narrow the filters and export in slices if needed.

Filter before you export

The filters above the donations list shape exactly what lands in the file:

  • Search — donor name, email, or details.
  • Status — Approved, Pending, Failed, Refunded, Partially Refunded, Disputed, or Charged Back.
  • Team — a single team's donations.
  • Payment method — Credit Card, Card (Phone/IVR), Apple Pay, Google Pay, Bank Transfer, Tap to Pay, Cash, Check, Bit, Donary, or Other. (The method tiles above the table — including the Charity Card / DAF tile — also act as filters.)
  • Date range — from/to dates.
  • View tabs — the export follows the tab you're on, so the Abandoned view (checkout attempts that never completed) can be exported for follow-up just like successful gifts.

Examples: filter to Status: Approved + Payment method: Check for a deposit reconciliation; filter to a date range for a monthly board report.

What's in the file

Sheet 1 — Donations. One row per donation, sorted by team and date, with columns for:

  • Donor Name, Email, Phone
  • Base Amount and Currency (in your campaign's goal currency)
  • Status, Payment Method, Payment Provider
  • Team Code
  • Dedication / Message
  • Anonymous (Yes/No)
  • Donation Type (online, phone, or manual)
  • Transaction ID (recurring pledge rows carry a plan: reference instead — the actual charges live on their installment rows)
  • Matched, Match Multiplier, Effective Amount
  • Collected Amount — money actually in hand for the row: recurring pledges show what's been collected so far rather than the full commitment, and unsuccessful rows show 0
  • Country, City
  • Notes (your internal notes)
  • Date

Sheet 2 — Summary by Team. Totals rolled up per team — perfect for leaderboard announcements and team-captain updates.

Political campaigns: if your campaign collects compliance answers (citizenship, address, employer/occupation), those answers are automatically appended as extra columns, with multi-part questions (like addresses) split into clean Street / City / State / ZIP columns.

Privacy notes

  • Anonymous donors' names appear in your export (as recorded), because the export is your private administrative record — anonymity applies to the public page, not to campaign staff. Handle exported files accordingly.
  • Internal Notes are included; remember they were never shown to donors.
Tip: The export uses nearly the same column layout as the donations import template (the export adds a few read-only columns, like Collected Amount). That means you can export from one campaign, adjust, and re-import elsewhere — or use an export as the starting point for cleaning up historical data.
