Exporting donor data

Your donor data is yours. Pledgix offers several exports, each shaped for a different job — bookkeeping, calling, win-back outreach, or auditing an import. Here's the full menu and when to use each.
Donations — the master spreadsheet
The most complete export lives in your campaign's Donations tab: click Export to download an Excel workbook of every donation matching your current filters — donor name, email, phone, amounts, status, payment method, team, dedication, date, and more, plus a per-team summary sheet. Filter first (by status, team, method, or date range) and the export respects it. This is the right file for accountants, receipts reconciliation, and thank-you mailings. See "Exporting your donation data" for the column-by-column details.
Gap analysis — the win-back list
In Analytics → Historical Intelligence, the Export button downloads the current gap-analysis view as a CSV: each past donor's name and contact details, what they gave historically, what they've given this campaign, the gap between the two, their status (Hot Lead, Partial, Retained), and the match confidence. Filter to Hot Leads first and you've exported your LYBUNT calling list for use anywhere — a mail-merge, a board packet, or a volunteer's kitchen table.
Call sheets — donor profiles on paper
From Donor Relations → People you can export donor intelligence as printable PDFs:
- One person — open their profile and click Call Sheet PDF for a one-page summary of who they are, their giving story, and the suggested ask.
- A batch — select rows and click Print sheets, or activate a segment and click Print call sheets. One PDF, one page per person, biggest asks first, up to 200 pages per batch.
These are designed for solicitors, not spreadsheets — everything a caller needs, nothing they don't.
Merge report — the import audit trail
After a Historical Intelligence upload, the Merge Report CSV documents exactly which spreadsheet rows were combined into each unique person and why. Keep it with your records; if anyone ever asks "where did this donor's total come from?", the answer is in that file. It stays downloadable from the session after the upload too.
What isn't exportable (yet)
There's no single-click export of the entire Profile Center directory with tags, notes, and stages. In practice the three exports above cover the common needs — donations for money, gap analysis for outreach, call sheets for solicitors. If you need your profile data in another shape (for example, for a migration), contact the Pledgix team and we'll help.
Handling exported files responsibly
The moment data leaves Pledgix, its protection is up to you:
- Exports include contact details and internal notes that donors never see — treat every file as confidential.
- Share files only with people who genuinely need them, and delete copies when the task is done.
- Anonymous donors' names appear in your private exports (anonymity applies to the public page, not to campaign staff) — never let an export leak onto anything public.
Tip: Name exported files with the date and the filter you used ("2026-03-hot-leads.csv"). Exports are snapshots — unlike segments, they don't update themselves, and an unlabeled month-old list causes double-asks.
