Adding past years' giving data

Everything smart in the Profile Center — suggested asks, giving trends, lapsed-donor lists, the Donor Journey chart — runs on history. The more past years you load, the better the suggestions get. There are two ways to add history, depending on your role.

The quick way: a contact import with a year (Managers and Owners)

If you have a list with names, contact details, and giving amounts, the Import Contacts button in Donor Relations → People handles it:

  1. Upload the file and review the suggested column roles.
  2. If the whole sheet is one year's giving, pick it under Which year is this data from? A multi-year export works in a single pass too — give each per-year amount column its own year, and pair gift columns with their date columns.
  3. Import.

Each amount is recorded against its year, feeding the person's lifetime total, trend, and suggested ask — one well-structured file can build multi-year depth in one go. This path is available to every campaign Manager and Owner.

The full path: the Historical Intelligence upload (Owners)

For complete year-end exports — with gift dates, addresses, and thousands of rows — the campaign's Historical Intelligence tab (under Analytics) has a dedicated four-step upload wizard. Historical Intelligence is included on Pledgix Pro and Political plans (the Pledgix team can enable it for other campaigns on request). Uploading here is reserved for campaign Owners; Managers can view the results but not upload. If you're a Manager with a big file to load, ask your campaign's Owner — or contact the Pledgix team, who are happy to run migrations with you.

The wizard walks through:

  1. Configure — name the upload (for example, "2024 Annual Campaign"), give it a year label and campaign year, choose whether the file contains donors or teams, and pick an import mode: Matchable only (skips rows with no email or phone — best for win-back analysis) or Import all records (keeps anonymous rows so totals are complete).
  2. Map Columns — match your columns to Email, Phone, Donor Name, Amount, Gift Date, Currency, and address fields. At least one of Email or Phone must be mapped so records can be matched. Files up to 50 MB are accepted.
  3. Processing — Pledgix normalizes the rows and merges duplicates that share contact details.
  4. Summary — review the counts: raw rows, unique people, auto-merged groups, and excluded rows, plus a match-confidence breakdown (High, Medium, Low). You can download a Merge Report CSV documenting exactly which rows were combined. Nothing is saved until you click Confirm & Save Data.

What good history unlocks

  • Suggested asks grounded in what each person actually gave, projected forward.
  • Trends — Upgrading, Declining, Lapsed, Returning chips on every profile.
  • Win-back lists — donors who gave before but not this year, ranked by past giving.
  • Gap analysis — in Historical Intelligence, each past donor's old total is compared against their current giving, and the shortfall is the number to chase.

Keeping it in sync

As new donations arrive, the comparison against history is refreshed — the Historical Intelligence tab shows when a manual Sync is worthwhile, and the Profile Center's Refresh button rebuilds profiles on demand.

Tip: Gift dates are worth mapping if you have them — dated gifts sharpen trend analysis far beyond a single yearly total.
