Roles and permissions explained

Every person on a campaign holds a role, and the role decides what they can see and do — on that campaign only. The same person can hold different roles on different campaigns, all under one login.
The five campaign roles
Owner (shown in the app as "Super Admin" or "Admin")
The highest level — full control of the campaign:
- Everything a Manager can do, plus:
- Invite other Owners and Managers, change their roles, and remove them.
- Access every campaign settings section, including Client Portal Access (the member list).
- Delete records that Managers can only edit — for example, removing expense entries.
- Manage sensitive data imports such as historical donor records.
Manager
Runs the campaign day to day:
- Edit campaign content and details (a few sensitive fields are reserved for Owners and platform staff).
- Create and manage fundraising teams — add teams, assign captains, edit and remove them.
- View and edit donations, and view invoices tied to the campaign.
- View and export analytics.
- Send campaign SMS and email messages (the Marketing & Outreach tab itself is available on Pledgix Pro and Political plans).
- Log and edit campaign expenses (but not delete them).
- Manage the campaign lifecycle — archive and restore it, and delete it while it has no donations — and view historical donor records.
Managers can't add or remove leadership access — the Client Portal Access member list is an Owner-only area, and a Manager can never promote anyone to Owner.
Captain
Leads a fundraising team:
- View the campaign, its donations, and its analytics.
- Everything is read-only — Captains rally their team rather than administer the campaign.
Team Member
Fundraises on the campaign:
- View the campaign and its donations.
- View analytics scoped to their own team's performance.
- Download their personal marketing materials, such as QR codes and shareable links.
Caller
Works the phones on campaigns that run a call center — the most restricted role:
- Sees only the call lists assigned to them in the Call Center, never the campaign's totals or other tabs.
- Donor phone numbers are masked in their view, and their sessions are fenced to their own assigned lists.
- Cannot see fundraising totals anywhere — including on their own dashboard Home.
Manager family vs. Team family
On the My Campaigns page, the five roles collapse into two badges so you can tell at a glance which campaigns you run and which you help on:
- Manager (blue badge) — Owners and Managers.
- Team (green badge) — Captains, Team Members, and Callers.
Hover over a badge to see your exact role. If you hold roles in both families on the same campaign (say, Manager and Captain), the tile shows both badges.
Wearing two hats? Use "Viewing as"
If you hold roles in both families on one campaign, its dashboard header shows a Viewing as switch with up to three positions — Manager, Captain, and Team, depending on the roles you actually hold. Flip it to Captain or Team to experience the campaign exactly as those teammates do — useful for checking what your fundraisers can see. Flip back to Manager for the full view.
A note on your account itself
Roles are per-campaign, but your account also has platform-wide abilities: any active Pledgix user can create a new Pledgix Go or Pledgix One campaign (you automatically run the campaigns you create; Pro and Political go through a request to our team) and always sees their own My Donations history and receipts.
Who assigns roles?
- Owners grant leadership roles (Owner and Manager) from the campaign's Client Portal Access section.
- Managers manage fundraising teams (Captains and Team Members) through the campaign's Teams area, but can't grant leadership roles.
- Roles are granted when someone is invited, and can be changed or revoked later — see Adding and removing team members.
