Reading your payout breakdown

Every payout on a Pledgix Go or Pledgix One campaign shows its complete math, so you can reconcile each disbursement to the penny. Here's how to read the numbers.

Where to look

Open your campaign in the client portal and go to the Payouts & Transactions tab. Your Payout History table lists each payout with its number (like PO-0003), the method it was sent to, the net amount, the period it covers, its status, and the date.

The four amounts

The history table shows each payout's net amount; the payout record itself carries the full math behind it (the email you receive when it's recorded confirms the amount and where it's headed), built from four figures:

| Amount | What it is | |---|---| | Gross amount | The raised funds this payout covers, before payout-level deductions. | | Reserve held | The portion temporarily kept back under your campaign's reserve terms. It's still your money — see Reserves — the percentage explained, with examples. | | Platform fee | Any Pledgix fee itemized on the payout record itself. Note that your platform fee is normally deducted per donation, as each donation is processed — so it's usually already out of the numbers before a payout is ever drawn. Nothing is hidden either way. | | Net amount | What is actually sent to you. |

The relationship is simple:

Net = Gross − Reserve held − Platform fee

So a payout covering $10,000 of payable net proceeds (your donations after the per-donation platform and processing fees), on a campaign with a 10% reserve, would read: gross $10,000, reserve held $1,000, net $9,000.

Tip: Reserve held and platform fee are very different animals. The fee is Pledgix's charge and doesn't come back; the reserve remains yours and is released by the team under your reserve terms.

The other details on a payout

Beyond the amounts, each payout records:

  • Payout method snapshot — exactly where it was sent, shown safely (for example Chase ••4231 or Paper Check). Even if you later change your payout method, the historical record keeps what was true at the time.
  • Period covered — the date range of fundraising the payout settles, so you can match it against your Donations dashboard for the same window.
  • Reference number — a bank or check reference, when available, for tracing the transfer on your side.
  • Currency — payouts are issued in your campaign's currency (USD, GBP, EUR, ILS, or CAD).

The balance dashboard above your history

Once your compliance is approved, the balance dashboard gives you the campaign-wide picture at a glance:

  • The hero number is Available to pay out — the one figure a payout decision actually needs — with a Statement (PDF) button beside it for a downloadable snapshot of the whole account.
  • A money-flow bar shows where every gateway dollar stands: Fees, Reserve, Paid out, Available, plus — when they apply — DAF in transit (grant money on its way but not yet payable), DAF direct (grants sent straight to your organization), and a small Adjustments sliver for DAF provider fees, refunds, and rounding.
  • Three tiles spell out the essentials: Net raised, Reserve held, and Still to pay out.

These answer the most common question — "where is the rest of my money?" — without any arithmetic on your part. Note that donor-advised fund (DAF) grant money still in transit is shown, but it doesn't count as payable — and isn't included in the reserve math — until the grant actually arrives in the bank.

Checking the math yourself

A quick reconciliation routine:

  1. Note the period on the payout.
  2. In your Donations tab, filter to approved donations in that period that were processed online through the gateway — leave out any manual or offline entries you logged yourself. That's your gross.
  3. Subtract the platform fee and the processing fees recorded on those donations, then your reserve percentage.
  4. Compare with the payout's net amount.

Small differences usually come from donations that were refunded or disputed after the period closed, foreign-currency gifts counted at their converted value, or processing fees that were computed from your account's contracted fee schedule rather than reported transaction-by-transaction by the processor.

Tip: If any figure on a payout doesn't match your expectations, message the compliance team from the campaign chat (the chat icon in your campaign header) and quote the payout number. Every payout is individually recorded, so we can walk through the exact donations and deductions behind it with you.
