Compliance status transitions — what each one means for your money

Your Pledgix Go or Pledgix One campaign always has exactly one compliance status, shown at the top of your Payouts & Transactions tab. This article explains how the statuses connect — what moves you from one to the next, and what each means for your money.

One rule before anything else

No compliance status ever blocks fundraising. Your campaign collects donations the moment it goes live, in every status below. Compliance approval is only required before Pledgix can process and send out payouts.

The journey, step by step

Pending Documents → into review

Every campaign starts at Pending Documents — we're waiting for your uploads. Uploading a document, or submitting your uploads for review, moves your campaign forward automatically: you'll see Documents Submitted (shown as "Documents in review") when your submission is waiting for the team, or Under Review once it's in the queue. The Pledgix team reviews submissions promptly.

For your money: payouts aren't available yet — the payout method section unlocks once you're approved.

Documents Submitted / Under Review

Your documents are in and the team is reviewing. There's nothing for you to do — you'll be notified by email when the review concludes.

Action Required — the loop-back

Something in your submission needs attention: a document that didn't pass, a missing item, or a question about your campaign. Check the campaign chat (the chat icon in your campaign header) — it explains exactly what's needed. Two things put you straight back into review:

  • Uploading a new document — this alone moves you back into review; no need to notify anyone.
  • Resubmitting after making the requested fix.

For your money: payouts stay paused until the loop closes. The fastest path out is answering the specific request in the chat.

Approved — the one that unlocks payouts

You're verified. Three things happen at once:

  1. Payout features unlock — your Payout Method section and Payout History go live.
  2. Your payout hold period starts counting (90 days by default); the approval email states the exact end date.
  3. Your balance dashboard appears — the Available to pay out hero, the money-flow bar (Fees, Reserve, Paid out, Available, and DAF buckets when they apply), and the Net raised, Reserve held, and Still to pay out tiles, plus the Statement (PDF) button.

For your money: disbursements begin once the hold period ends. See Preparing for your first payout — a checklist.

Not Approved

Verification could not be completed. The reason is shown on your compliance page and in your email — and the campaign chat is open for questions or an appeal with additional documentation.

For your money: payouts are not available on this status. Talk to the team through the chat; situations change, and applications can be reconsidered with new information.

What triggers a status change

| You do this | Status becomes | |---|---| | Upload a document (from Pending Documents or Action Required) | Under Review | | Submit your documents for review | Documents Submitted | | Team requests something | Action Required | | Team completes verification | Approved or Not Approved |

Every change comes with an email, and individual documents get their own review results (approved or rejected) with reviewer notes in a "Your Document Has Been Reviewed" email.

Statuses at a glance — money view

| Status | Fundraising | Payouts | |---|---|---| | Pending Documents | Open | Not yet | | Documents Submitted | Open | Not yet | | Under Review | Open | Not yet | | Action Required | Open | Paused — answer the chat | | Approved | Open | Unlocked (after hold period) | | Not Approved | Open | Not available — contact the team |

Tip: The notification bell in your portal shows unread messages from Pledgix across all your campaigns — if your status changed while you were away, that's where you'll see it first.
