Bulk-importing teams from a spreadsheet
Last updated 3 min read
If you're setting up a large campaign, you don't need to add teams one at a time. The Bulk Import Teams tool lets you upload a whole roster from a spreadsheet, with guided error checking along the way.
Team import (and the matching Excel export) is available from Pledgix One and up — it's not included on Pledgix Go, though the Pledgix team can adjust access per campaign.
Preparing your file
The importer reads CSV, XLSX, and XLS files — you can upload your Excel or Google Sheets roster directly, no conversion needed.
- In your campaign's Teams tab, open the bulk import tool.
- On the Guide step, click Download CSV Template to get a ready-made file with the right headers.
The template columns are:
| Column | Notes | |---|---| | Team Name | The only truly required column | | Team Code | Optional — auto-generated if blank; must be unique in your campaign | | Leader Name | Optional | | Leader Email | Optional — separate multiple emails with commas | | Goal Amount | Optional — accepts formats like $5,000, 5000, or $2,500.50; defaults to 0 | | Team URL | Optional — auto-generated if blank | | Phone Number | Optional — separate multiple numbers with commas | | Team Description | Optional |
Columns can appear in any order — the importer matches them by header name. Just make sure the first row contains the headers.
Uploading and previewing
- On the Upload step, drag in your file.
- If the importer isn't sure what a column contains, a column mapping step opens first — confirm which column is which before continuing.
- The Preview step shows three counts: Total Rows, Valid Rows, and Invalid Rows.
- Rows missing a team name appear in an editable table so you can fill in the name right there. Rows with other errors are listed under "Fix These Errors Before Importing" — correct them in your file and re-upload, or edit inline where possible.
- Choose whether to check "Send welcome emails to all new teams". This is off by default; when enabled, each new team leader receives their welcome and portal invitation as part of the import.
Handling teams that already exist
If your campaign already has teams, the Match step compares your file against them. Teams are matched by email, phone number, or team code. For each potential match, you decide what happens:
- Keep existing — leave the current team untouched.
- Remove team — delete the existing team (not available if the team already has donations).
- Pair with a CSV row — merge, choosing per field whether to use the CSV values, keep the existing values, or combine both (for emails and phone numbers).
There is also a "Replace all teams with this file" option that deletes every existing team and rebuilds the roster from your file. As a safety measure, this option is blocked if any existing team has recorded donations.
Tip: Duplicate matching is what makes re-imports safe. You can update goals or contact details for an existing roster by re-uploading a corrected file and pairing rows, instead of deleting and starting over.
Results
The final step shows how many teams imported successfully and how many failed, with a card for each new team (code, URL, goal) and a per-row explanation for any failures.
After importing, click Create Links in the Teams toolbar to generate public URLs for any teams that don't have one yet — teams can't collect donations through their page until their link exists.
