Writing donation appeals that convert
Last updated 4 min read
Most campaign messages fail the same way: they're written to a crowd, about an organization, with no particular ask. The messages that convert flip all three — written to one person, about one human story, with one specific action. Whether you're drafting in Email Studio, the SMS Center, or handing templates to captains, the same principles apply.
(Plan note: the Email/SMS/Robocall channels are Pledgix Pro and Political features by default, while giving tiers and AI Auto-Write come with Pledgix One and above — the Pledgix team can adjust access per campaign. Captain messages via WhatsApp or personal texts need no plan at all.)
The five principles
1. Write to one reader. "Dear friends" converts like the mass mail it is. Write as if to a single person you know — because on the receiving end, that's always who's reading. "You" should appear far more often than "we."
2. One story beats every statistic. "We serve 400 families" informs; "Rivky's family didn't know how they'd make Pesach — until this community stepped in" moves. Lead with a single concrete person or moment, then let the numbers support it. (Never invent stories — your community knows its own.)
3. Make the ask specific and now. "Please support us" is not an ask. "Give $180 in the next 3 hours while every dollar is doubled" is. Every message needs one ask, one amount or menu, one deadline, one link. Two asks in one message reliably means fewer completions, not more.
4. Lead with the multiplier and the clock. If you're running a match, it's your headline, not a postscript: your gift is doubled is the single most persuasive claim available to you, and the countdown is the second. Your page reinforces both automatically — the matching banner shows the multiplier and sponsor, and donors see the live preview (your $100 → $200 total impact) as they type an amount.
5. Name real amounts. Anchor to your Zechusim & Tiers levels and say what each does: "$360 sponsors a family's package." Concrete amounts with meaning outperform "any amount helps" — though always leave the any-amount door open in the final line.
Example snippets to adapt
Launch email (opening):
Sarah, it's here. As of this morning, our community's campaign is LIVE — and for the next 48 hours, every dollar you give is doubled by the Goldberg Family match. We're already at 32% of our $300,000 goal thanks to a remarkable group of early givers. Will you take us one gift closer? $180 becomes $360 the moment you give →
Launch SMS (keep under ~300 characters):
We're LIVE! Every gift DOUBLED for 48 hrs by the Goldberg match. Already 32% to goal — help us finish: [link]
Captain personal message (for WhatsApp/text — hand this to captains to personalize):
Hi [name] — you know this cause matters to me personally. I've taken on raising $5,000 for [campaign] and I'm asking 25 people I trust. Every gift is doubled through Thursday. Would you be one of my 25? Here's my page: [team link]
Mid-campaign milestone:
Something amazing just happened: we crossed 50%! And the Steinberg family just added $25,000 to the match pool — the next $25,000 in gifts is still doubled. We've never had momentum like this. Keep it going: [link]
Bonus-goal unlock:
WE DID IT — $300,000, goal reached, 9 hours early. But tonight we're not stopping: every dollar from here funds the scholarship fund, and the match is still live until midnight. Help us unlock the bonus goal: [link]
Final hours:
3 hours left. We're $14,000 from the bonus goal — that's 40 gifts of $360, doubled. You've watched this campaign all week; be part of how it ends. [link]
Channel notes
- Email carries the story; give it a subject line that states news, not a request ("We're 32% funded before we even launched").
- SMS carries urgency; one sentence, one link, send it into the hot hours you see in Today by Hour.
- Robocalls carry warmth for audiences that answer phones — a recognizable community voice, 30 seconds, one clear instruction.
- Captain messages out-convert everything, because they arrive from a friend. Your best copywriting investment is the templates you hand captains.
If your community reads in more than one language, don't send English to everyone — your story already serves each language you've added via its language pills (and the five platform languages get their own page links, like /he/your-campaign, worth using in language-targeted sends). AI Auto-Write can draft translations of your story you can refine, but have a native speaker read every appeal before it ships.
Tip: Watch Conversion in your Analytics section's Visits view after each send (Visitor Analytics is a Pro/Political feature). Visits that spike without donations following usually mean the message got attention but the ask was soft — sharpen the amount and deadline in the next one.
Tip: Read every message aloud before sending. If it sounds like a press release, rewrite it until it sounds like you.
