Running a volunteer call center

A focused evening of phone calls can raise more than a week of emails. The Call Center gives your campaign a built-in outbound calling operation: organized lead lists, a dialer that places calls for you one after another, and a clean record of every conversation.

Getting access

The Call Center is included on Pledgix Pro and Political plans (the Pledgix team can enable it for other campaigns on request). Activation is handled by the Pledgix team — contact support and we'll switch it on for your campaign. The call center can run while your campaign is upcoming or active — perfect for pre-campaign pledge drives and live-day phone-a-thons alike.

Where to find it

Once active, the call center is the Calling wing of Donor Relations in your campaign sidebar (its sister wing, People, is your donor Profile Center). The hub is organized into Home, Sessions, Follow-ups, Pledges, Replies, and History, with a phone dialer panel alongside — plus Callers and Settings tabs for managers, and a Kvitels board when that feature is switched on for your campaign.

Creating a calling session

A session is one calling effort — "Spring 2026 Major Donors," "Event follow-up night." Click New Session to open New Outreach Session:

  • Session Name (required) — name it after the effort so your History stays readable.
  • Lead List (optional) — upload an Excel or CSV file of people to call. On upload you'll see exactly what happened: how many leads loaded, how many were scrubbed against the Do-Not-Call list, and how many duplicates were removed.

You can also fill a session from inside Pledgix: in the People wing of Donor Relations, select the profiles you want and choose Send to Call Center. You can start a new dialing session with just those people, add them to the always-on Quick Dial list, or append them to an open session. Pledgix tells you if anyone was skipped — no phone number, on the Do-Not-Call list, or already in the session.

Calling with the power dialer

Open a session and press the blue Start Calling button. From here, the dialer does the driving:

  1. It picks the next available lead and places the call.
  2. You talk. The lead's details are on screen in front of you.
  3. When the call ends, you log the outcome — Contacted, Voicemail, No Answer — plus any notes, during a short wrap-up window. Voicemails can even be detected and logged automatically.
  4. The dialer advances to the next lead. Repeat until you're done.

Your controls while calling: Take a Break pauses after the current call, Resume Calling picks the queue back up, and End Calling finishes your run.

Calling as a group

Several people can work the same session at once — everyone presses Start Calling, and the queue hands each caller a different lead, so no donor ever gets two calls from two volunteers. If you need everyone to stop (a speech is starting, pizza arrived), use Pause for all callers on the session.

Phone-night volunteers don't need full management access: a member added as a caller gets a focused view of the hub — just their sessions and message replies — while managers keep the full picture.

Tracking your results

Each session shows a progress bar of completed versus total calls. Summary cards track your Contact Rate, Total Dialed, Contacted, Voicemail, and No Answer counts, and the History tab keeps a per-call log — who was called, when, the outcome, and how long you spoke.

Tip: Small sessions beat giant ones. A 60-lead session a team can finish in one sitting keeps energy high; a 2,000-lead session that ends the night 12% complete deflates everyone. Split big lists into named sessions and celebrate each one closed.
Tip: Write one sentence of notes on every Contacted outcome — "wants to give after the holidays," "asked about sponsoring a tier." Those notes are next campaign's warmest call list.
